Japan visa itinerary: format, sample and rules
Japan asks for a day-by-day "Schedule of Stay". Here is what goes in it, a sample, and a free generator that fills it from your bookings.
What the itinerary must show
- Form date (Year / Month / Day; Japanese version uses the Reiwa era: 令和 年 月 日)
- Opening line naming the visa applicant and number of other travellers ('The travel itinerary of the visa applicant and others are as follows'; 査証申請人___ほか___名の滞在予定は次のとおりです)
- Date (年月日), one row per day
- Activity Plan (行動予定)
- Contact (連絡先)
- Accommodation (宿泊予定先)
- Dubai consulate adds: planned flights with entry and departure dates to and from Japan; Kolkata adds flight or ship number and date of arrival and departure

Rules that matter
- Use one row per day: date, activity plan, contact and accommodation, matching the MOFA form columns.
- Accommodation in the schedule must match the hotel booking. Dubai asks for a booking with full hotel details, hotel contact, address and the applicant's name. Bengaluru asks for rooms blocked in the applicant's or companion's name, and only one guest shown if travelling alone.
- Dubai: Chinese nationals may not use vacation rentals such as Airbnb (checklist note).
- Flight dates in the schedule must match the air ticket. Dubai accepts provisional or confirmed e-tickets or a travel-agency flight slip. Kolkata asks for an itinerary with flight/ship number and arrival and departure dates.
- Kolkata: 'Complete Hotel reservation, booking only- not confirmed' (paid confirmation not required).
- Documents must be valid at application and submitted within 3 months of their date of issue (Dubai Nov 2025 checklist).
Mistakes that get files flagged
- Dubai consulate will not accept applications if the flight is within 2 weeks of the application date.
- Schedule that does not match hotel bookings or flight dates (implied by the paired checklist items; no official refusal statistic found).
- Hotel booking showing extra guests when travelling alone (Bengaluru).
- Using an older or different template where the post says the format is on its website (Kolkata, Dubai). The MOFA form is the safe default.
Applying from the UAE
UAE residents apply to the Consulate-General of Japan in Dubai through VFS. The Nov 2025 tourism checklist and the Dec 2024 e-Visa checklist both ask for: air ticket proof (provisional or confirmed); a hotel booking with full details, hotel contact and address in the applicant's name; and a 'Schedule of Stay/ Itinerary' of daily activities in Japan with accommodation and contact, using the sample on the website. No applications if the flight is within 2 weeks. Maximum stay 90 days. UAE citizens: MOFA lists a 2025 relaxation of short-term stay rules for UAE ordinary passport holders, which extends the stay period. Their exact requirements were not checked.
Applying from India
Kolkata VFS checklist: complete hotel reservation (booking only, not confirmed); day-to-day itinerary or schedule of stay in the website format; itinerary with flight/ship number and arrival/departure dates. Bengaluru (July 2025) checklist: accommodation in the applicant's name, a day-to-day schedule, and documents showing the flight or cruise to and from Japan. The Bengaluru consulate only handles residents of Karnataka. Japan's eVISA availability for Indian residents was not confirmed (see gaps).

Is there an official Japan itinerary form?
Yes. Japan's foreign ministry publishes the "Schedule of Stay" (滞在予定表) with columns for date, activity plan, contact and accommodation. English version (PDF).
Must hotels in the itinerary match my bookings?
Yes. Consulate checklists ask for hotel bookings with the hotel's details and your name, and flight dates that match your ticket.
How early should I apply from Dubai?
The Consulate-General in Dubai does not accept applications when the flight is within two weeks of the application date.
